How do I access my Showroom Control Manager?

At the top of the XRM application, you will see the 5th button from the left. It is a globe with 3 people and if you mouse over it, it will say Showroom Control Manager.

The Showroom control manager isn't showing me all of the people that have come in today. Why is that happening?

Are you set to only display certain departments or managers' traffic? To check this, on the showroom control manager screen, click the Admin button. If it is set to filter by department or manager, this could be the problem.

If that doesn't do it - what date are you set on (top-left side of the screen).

Your showroom display may also be set to remove completed customers. Under the Main Menu, Maintenance Tab, Custom Settings look for an option in the first column that says Showroom Control Manager
- Show All.

Why am I not in the employee drop down when I'm trying to enter a customer into the showroom?

There are several possible reasons for this:
-
If you have been in the drop down before, but are not now, then you may have a previous showroom event that is incomplete (this is an optional setting for your dealership).

You may have not completed yesterday's follow up activities and are now locked out of logging new showroom events (also a dealership optional setting).

Your employee type may not allow for showroom events (only sales person sales manager will show on the list of salespeople when logging a showroom customer).

How do I Close Out a deal?

On the Showroom Control Manager, click the first icon in the Actions column
(shaped like a pen and paper) to open the showroom event.

On the Sales Process tab of the showroom event (should open to this by default),
first make sure the contact information column is correct. In particular
make sure the salesperson and department information are acurate.

In the Manager Information section, make sure the proper Desk and TO manager are
selected (as needed).

Make sure notes have been filled in appropriately, and vehicle information has
been updated as needed.

In the Sales Process section, make sure all steps to the sale are marked
appropriately, and select either the Sold Customer check box and appropriate
delivery and purchase status, or select an appropriate Non Purchase Reason.
Doing so will mark the customer complete for you.

Click the Save button at the top of the event.

What details are required to Push a deal to the DMS?

Required details are i) Full Name and Address of Customer, ii) Stock# and/or VIN of vehicle and iii) Pricing information. If it is a company that is buying the vehicle, make sure that the checkbox in the Customer record is checked. FYI - some dealers have their DMS set up to require an email address within the Customer record.

How do I push a deal on a vehicle that is not in my inventory yet?

For most DMS systems, the word LOCATE (as shown here, in all capitol letters)
can be used in lieu of a stock number if you also have an acurate VIN.

When desking a deal, this can be entered on either the Sales Process or
Work-A-Deal screens.

If your DMS will accept this, you can push this deal.

Does Car Research push data to DealerTrack or RouteOne?
-
Yes we do! This will save your Finance Department from having to retype information from the Credit Application into DealerTrack
or RouteOne that has already been entered into CAR-Research.

The push buttons for both services are found at the bottom of the Work-A-Deal
screen. If neither appear, they have not been set up.

To set these up, you will need to contact CAR-Research customer care. Make
sure to have your DealerTrack or RouteOne ID number handy (if you do not know
these, contact the vendor).

Which Trade Appraisal programs does CAR-Research push to?

CAR-Research can push trade information (VIN, year, make, model, milage,
customer information, and more) into:

DealerTrack AAX

vAuto
-
RedBumper
-
FirstLook
-
This helps save time in working deals by avoiding the need to re-enter the same data into
multiple programs.

In the Work-A-Deal, how do I change the Down Payment, Term and/or Interest Rate?

Uncheck the button labeled Recalc DP and then type in the down payment amount and press the Tab button.

Likewise, you can change Term and Interest Rate by typing in the desired Term and Interest Rate and pressing Tab. It will automatically recalculate the new deal.

Finally, you will need to double-click on the monthly payment field that matches the desired Down Payment, Term and Interest Rate. The square will turn green and the Active Deal section at the bottom of the page will display the details that will be pushed to the DMS.

How do I change the Quick Print Forms that are available in the Work-A-Deal screen?

Go to the Maintenance tab and select Forms Maintenance.

Find the form you wish to use as a Quick Print form and click the FormID number
to its left to edit.

In the edit box, check the Quick Print check box and click save.

You can also designate this as a Pencil form by selecting the Pencil check box
on this screen.

To remove a form from quick print, follow the same steps, only un-check the
quick print box.
